Use of your personal information

Please read this notice carefully as it contains important information about our use of your personal information. In this notice, we/us/our means the Fortis Group within the UK, which includes RIAS PLC, whose registered office is at RIAS House, Deansleigh Road, Bournemouth, Dorset BH7 7DU, and who is registered to collect and process personal data under the Data Protection Act 1998. (the “Act”), and any holding companies, subsidiaries and other linked companies. Your personal information means any information we hold about you or anyone else in connection with any product or service we are providing to you.

We respect and safeguard the privacy of our users. This Privacy Policy outlines how we will do this, how we will collect and use your personal information (such as your name, country of origin, date of birth, your email address, mobile telephone number or any further details that we require) and how you can limit our use of this. Please read this Privacy Policy carefully which should be read together with our website terms and conditions.

You must ensure that all Personal Information you provide is accurate and complete and that all details (where applicable) contain your correct name and address and other requested details.

By providing personal data to us, you confirm that we may store, use and otherwise process your personal information for the purposes and in accordance with the Privacy Policy explained below. How we use your personal information

We will pass your personal information onto any third party insurer to enable them and us to manage your insurance policy, including handling underwriting and claims and issuing renewal documents. At times, we may also share your information with regulatory authorities, agents providing services on our behalf and other business partners. In addition, we will use your personal information in the ways described below.  As part of our service we will ring you about any quotation you receive from us.

If we change the way that we use your personal information, we will write to you to let you know. If you do not agree to that change in use, you must let us know as soon as possible.

Sensitive information

Some of the personal information that we ask you to provide is known as sensitive personal data. This will include information relating to your health, race, religion and any criminal convictions that you have. We will only use sensitive personal data about you to manage your policy and to provide the services described in your policy documents.

Sharing Personal Information

We, and your insurer, may release your personal information to others if we need to prevent fraud or we are required or permitted to do this by law (for example, if we receive a legitimate request from the police or another authority); or there are any other circumstances where you have given your permission.

We, and your insurer, may also share your personal information with operators of registers used by the insurance industry to check information that is given to us and prevent fraudulent claims. These include -

  • The Claims and Underwriting Exchange register, run by Insurance Database Services Limited
  • Motor Insurance Anti-Fraud and Theft Register

The Motor Insurance Database.

We may pass information relating to your insurance policy and any incident (such as an accident or theft), to these registers.

The Motor Insurance Database (MID) is run by the Motor Insurers’ Information Centre (MIIC). MID data may be used by the DVLA or DVLNI for the purpose of Electronic Vehicle Licensing and by the Police for the purposes of establishing whether a driver’s use of the vehicle is likely to be covered by a motor insurance policy and/or for preventing or detecting crime.

If you are involved in an accident in the UK or abroad, other UK insurers, the Motor Insurers’ Bureau and MIIC may search the MID to obtain relevant policy information.
Persons pursuing a claim relating to a road traffic accident (including citizens of other countries) may also obtain relevant information which is held on the MID. You can find out more at www.miic.org.uk

Marketing Purposes

We may use your personal information for marketing and research purposes and to help us meet your needs.

  • We may use, analyse, assess and carry out research using your personal information;
  • We may give you information about other products and services offered by us and selected third parties, which we think may interest you.
  • We may contact you if you abandon or fail to complete an online quotation to see if we can offer you any assistance with this.

We may also send you information via post, email, and/or telephone in accordance with your preferences.

Dealing with others on your behalf

To help you manage your insurance policy, subject to passing relevant security questions, we will deal with you or your husband/wife or partner or any other person whom we reasonably believe to be acting for you if they call us on your behalf in connection with your policy.

Monitoring and recording calls and CCTV

We may monitor and record telephone calls for training purposes, to improve our service and to prevent or detect fraud. We may also use CCTV recording equipment in and around our premises.

Competitions

If you enter and win a competition on the site your name, address and entry may be used in publicity.

Further information

You are entitled to receive a copy of the information we hold about you. Please write to our Data Protection Officer, Compliance Department at RIAS House, Deansleigh Road, Bournemouth, Dorset, BH7 7DU giving your name, address and insurance policy or quote your reference number. We are entitled to charge you an administrative fee of £10 for this. You may also request that we update your preferences or correct any inaccuracies.

Our website

We want you to feel secure when visiting our website and are committed to maintaining your privacy when doing so. We make limited use of "cookies" to monitor and analyse how parts of our site are used, but we do not use them to store personal information.

We use third parties (such as Sitestat) to collate IP addresses (amongst other things) to help us understand our Internet traffic data and data regarding your browser type and computer.

In general you may visit the RIAS website without providing us with any personal information about yourself. However, there are times when we may need information from you, which includes your internet address so that we can track unique visits to our site for analytic purposes.

We may also use cookies in our email communications to personalise the email and track whether the mail has been opened or read and whether the recipient has used any website links contained in the email communication. This allows us to monitor and improve our email communications and website.

Internet browsers normally accept cookies by default, although it is possible to set a browser to reject cookies. However, switching off cookies may restrict your use of our website and/or delay or affect the way in which our website operates.

The open nature of the internet is such that data may flow over networks without security measures, and may be accessed and used by people other than those for whom the data is intended. While this is out of our control, we aim to apply appropriate levels of security at all times.

Our website uses Secure Socket Layer (SSL) to enhance security when entering sensitive data while requesting an online quote. SSL is the industry standard technology for protecting and maintaining the security of message transmissions over the internet. When you enter sensitive data from secured sites, encryption will scramble your data into an unreadable format to inhibit unauthorised access by others.
